After an investment ends in Arch, we process documents related to that holding differently. We focus mainly on residual Distribution Notices, Tax Documents, and Updates that would still be relevant regardless of end date. Reach out to your Arch Operations team to add an end date to a holding. Additionally, when Arch receives a Tax Document marked as "Final" (e.g. the "Final K-1" box is marked on a K1), we add an end date to that holding. However, end dates often mean that a holding was transferred instead of completely ended for an investor.
Arch has a specific way to process transfers so we can track reporting for the previous and current owner of the investment. Follow the below steps to ensure we properly mark old holdings/ownership as ended while also processing documents for the new owner. Soon, users will be able create these transfers in Arch themselves, but for now these can only be processed by your Arch operations team.
Reach out to Arch with a list of the holdings that will be transferred. This should contain which holdings are being ended and which Investing Entities will now own the new holding. The list should also contain the date that the transfer takes place.
For each transfer, you will want to add an end date to the holding being transferred. Instructions for adding a holding end date are here, but, as a quick recap, scroll down to the "Details" section of the Info tab for specific holding to find the End Date input.
Once this is set up, contact support@arch.co, operations@arch.co, Intercom, or your dedicated Operations manager to set up the transfer link. They will create the new holdings and process the transfer connection. Once this is finished, the old holding will appear as Ended. Clicking on the holding will show a "Transferred To" link under the Holding section of the Info tab. This link will lead to the new investment, where there will be a mirrored "Transferred From" link.
This transfer process ensures that we keep the same Link setup for the old holding and re-link the new holding if the fund removes us from communication.
